8-STEP GUIDE
Step 1:
Review the Rules & Expectations
- WBE Canada reserves the right to reassign booth space as needed
- While WBE Canada will do its best to accommodate special requirements, we cannot guarantee their fulfillment. All requests will be reviewed and approved on a first-come, first-served basis
- There are no refunds for no show, late arrival, or early departure
- Exhibits must be staffed at all times during exhibit hours
- No exhibitor shall assign, sublet, or share the space allotted without the knowledge and consent of WBE Canada
- Only one business may be displayed per booth
- No direct selling or order-taking is allowed at the Tradeshow without the knowledge and consent of WBE Canada
- Due to venue restrictions, we are unable to allow you to ship anything to the event venue. Check with your hotel if shipments can be sent there
- If you are bringing a heavy item, inform us immediately. If this request is not communicated in a timely manner, we will not be able to accommodate you on the day of the event
- No valuables should be left unattended. Valuable items may include electronics or collected contact lists. If you are collecting contact information from attendees, ensure you protect it since you will be responsible for that information under the Privacy Act
- Doors will be locked outside of the times of exhibit hours. Ensure that you are in the room prior to Tradeshow exhibit start time since you will be held responsible for your items once doors are open to attendees. Review the timeline to note the times you must be back at your booth
- Exhibitors should be reminded to comply with all local, provincial, and federal laws and regulations, including those related to product safety, labelling, and marketing
- Exhibitors should be aware that failure to comply with event rules and regulations may result in penalties or removal from the event
Step 2:

The Tradeshow will be open on both days of the conference in the Pinsent and Berton Rooms. The Tradeshow map will be shared with you closer to the event. Please review the timeline listed below.

Step 3:
Attend Tradeshow Exhibitor Information Call
WBE Canada hosted an Info Call on October 3, 11 am - 12 pm ET to give you an overview of the Tradeshow and allow you to ask any questions you may have. If you were not able to attend the call, you can review the recording on this page.
Step 4:
Plan and prepare for your booth
To ensure effective brand recognition, exhibitors should focus on preparing clear and visually appealing collateral, materials, and banners. Use concise messaging that highlights your brand and unique value proposition. Incorporate bold branding elements, such as prominently displaying your logo. Utilize engaging visuals and opt for attention-grabbing banners that prominently feature your company name and logo. Include contact information for easy follow-up. Keep it simple, clear, and visually impactful to make a lasting impression at the tradeshow.

Step 5:
Review Exhibitor Tips
- Brand yourself early - Let your social media followers and your community know that you’ll be exhibiting at WBE Canada’s National Conference. Share sneak peeks into the type of information an attendee will have access to during the Tradeshow. Remember to tag us so we can reshare your content!
- Know your audience - Are corporate representatives your key target? Ensure that your booth showcases your products and services that will be of interest to corporations. Do your research on the companies attending the conference.
- Utilize your booth - Make sure you have a variety of collateral pieces in hand. Include resources that give any attendees that enter a clear picture of your products and services.
- Ask the right questions - If an attendee has reached your booth that means there was something that caught their attention. Use this to your benefit. In conversations with them, ask open-ended questions that help you understand their needs. These conversation-starters also help you quickly qualify (or disqualify) them as leads, giving you the information you want right away.
- After the Tradeshow - Follow up with attendees who visited your booth or had conversations with you. Take time and do your research when sending them a follow-up email. Let them know that you care about their interest in your product with thoughtful outreach. These strategic differences set you apart from other exhibitors and strengthen your connection to attendees.
Step 6:
Promote your booth
Get ahead in promoting your brand! Let your social media followers and community know in advance that you'll be exhibiting at WBE Canada's National Conference. Don't forget to tag us and use the designated hashtag to allow us to reshare your content!

Inform WBE Canada
Inform us if you anticipate bringing any heavy items or if you have any special requirements by emailing us at community@wbecanada.ca

Step 8:
Set up your virtual booth (Opens in October)
The virtual booth will allow you to upload files (demo videos, product catalogues, etc.), connect to conference attendees before the event and manage leads.
Quick guide for set-up of your virtual booth:
- Your primary Tradeshow contact will receive an email from noreply@brella.io with the subject “2023 WBE National Conference has added you as their partner".
- Click on the "Access Booth" button in the email and select 2023 WBE National Conference.
- Click “Virtual Booth” to modify your booth setup, and select the products tab to add details of your product / service offerings.
